When you can't pick up, a phone assistant answers in your business name. It asks what the caller needs, takes their details, books them into an open time or takes a message, and texts you a summary right away.

The problem: the phone rings when you can't answer

You're on a roof, with a patient, running an event or under a car. The phone rings. By the time you call back, many callers have already tried the next business on the list. Voicemail doesn't help much: a lot of people hang up rather than leave one.

Hiring someone to sit by the phone costs thousands a month. Live answering services charge per call or per minute, and the price climbs fast in a busy week.

What happens on a call

  1. It answers in your name

    "Hi, thanks for calling Northside Plumbing, this is the assistant. How can I help?" You approve the greeting.

  2. It finds out what they need

    A short, natural conversation. Callers can interrupt, change their mind or ask a question, like they would with a person.

  3. It takes the details

    Name, callback number, address or job details: whatever you need to call back ready.

  4. It books or takes a message

    If you want bookings, it offers only times that are actually open on your calendar and books one. If not, it takes a clear message.

  5. The caller gets a text

    A short confirmation of the booking or "Got it, we'll call you back."

  6. You get a summary straight away

    Who called, what they need, how urgent it is and what was booked. Urgent calls are flagged. Spam and sales calls are ended politely and not sent to you.

Two ways to use it

After hours only

Evenings, weekends and holidays. Your staff keep answering during the day, and nobody loses a job to a robot. The simplest place to start.

Overflow, any time

When you don't pick up after a few rings, the call goes to the assistant instead of voicemail. Good for owner-operators who are on the tools all day.

You keep your own number. Calls are forwarded with your phone carrier's call forwarding, which you can switch off any time.

What you approve

You set the rules. The assistant only says what you've approved.

  • The greeting and the questions it asks.
  • Which answers it can give (hours, service area, what you do and don't do).
  • Which times can be booked, and how long a booking is.
  • What counts as urgent, and how you want to be told.

What it never does

  • Pretend to be a person. If a caller asks, it says it's an automated assistant.
  • Quote a price you haven't approved, offer a discount, or promise a start date.
  • Book a time that isn't open on your calendar.

Questions people ask: Phone Answering

Will callers know it isn't a person?

Yes. It introduces itself as your assistant, and if anyone asks whether they are talking to a person, it says no. It never pretends to be you or a staff member.

Do I need a new phone number?

No. You keep your number. Calls you don't pick up (or calls after hours) are forwarded to the assistant using your phone carrier's call forwarding. You can turn it off any time.

What if it gets something wrong?

It only books times that are open on your calendar and only answers questions with the answers you approved. Anything else, like price, a complaint or an unusual request, is taken as a message and sent to you. You get a written summary of every call, so mistakes are easy to spot and fix.

What happens if the system has a problem during a call?

It falls back to a simpler message-taking line, so the caller can still leave their name, number and reason. You still get the summary.

I use Jobber or Housecall Pro. Don't they have this?

Both offer call-answering add-ons you set up yourself. If you're happy to set one up and tune it, that may be the cheaper option. We set it up, write the questions with you, watch the calls and fix what's not working each month.

Is the call recorded?

We don't turn on audio recording unless you ask for it. A written summary of each call is kept so you can follow up.

Where is the data processed?

Calls run through Twilio. Speech-to-text is by Deepgram, the voice is by ElevenLabs, and the conversation is handled by Anthropic's Claude. Our automation server is hosted in the United States (Virginia). Bookings go to your Google Calendar if you use it. Data is processed outside Canada. See our privacy policy.
