The problem

You send a list of documents. The client sends half. Then a blurry photo. Then nothing for two weeks. Someone on your team spends hours a week writing "just a reminder" emails and checking what's in.

Portals help, but many clients never log in. And every file that sits waiting is work you can't finish or bill.

What it is designed to do

This is the plan for the system. Founding clients help decide what gets built first.

  1. You pick the checklist

    For the file type, for example a study permit, a T1 personal return or a small business year-end.

  2. The client gets one link

    By text or email. It shows their list, with a simple upload button for each item. No password.

  3. Each upload is checked

    For the basics: right type, readable, not the wrong year. Unclear ones are flagged for your team.

  4. Reminders name what's missing

    "We still need your 2025 T4 and your bank statement for March." Nothing generic.

  5. A status board for your team

    Complete, waiting on client, or needs review.

  6. A notice when a file is complete

    And the documents are in one folder.

What you approve

You approve anything important. Nothing goes out in your name until you've signed off on the wording.

  • Every checklist and every reminder message.
  • Reminder timing (for example, every 3 days, stop after 4).
  • Anything a client writes back comes to your team. It never gives advice.

Where are the documents stored?

In your own storage (for example your Google Drive or OneDrive), not ours. We'll show you exactly where on the audit.

I already use TaxDome, Karbon or Docketwise.

They have reminders built in. If clients use them, you may not need us. Document Chaser helps when clients ignore the portal.

Does it give immigration or tax advice?

No. It only collects documents and sends reminders. Your clients' questions go to your team.

Can clients upload from a phone?

Yes. Most do. It takes a photo or picks a file.
