Being built. Founding clients shape it.

Fill the empty slot. Bring back the "not today".

When someone cancels, the opening goes straight to people on your waitlist, and the first to reply gets it. When a customer says "not today" to recommended work, they get a friendly reminder at the right time.

Local to Edmonton. Month to month, no long contract.

An honest note. This system is being built now. If you become a founding client, you help shape how it works and get the best price. Prices below are a starting point, confirmed after the audit.

The problem

Clinics: a late cancel leaves a gap in the day. People on the waitlist would have taken it, but nobody had time to call around.

Auto shops: you recommend brakes or a timing belt. The customer says "next time". Next time is a year away, at someone else's shop.

What it is designed to do

This is the plan for the system. Founding clients help decide what gets built first.

Cancellation fill

  1. A cancellation comes in

From your booking system, or a quick note from the front desk.

  2. It texts the waitlist

With the open time, in order, a few people at a time.

  3. First to reply "yes" gets it

Others get a polite "it's been filled".

  4. The front desk confirms

In your booking system with one click, or it's done for you if your system allows.

Declined-work recall

  1. Declined work is logged

From your shop system or a quick form: what, why, and the price quoted.

  2. It waits the right time

For example, 30 days for brakes, or before winter for tires.

  3. A friendly reminder goes out

In your name, with an easy way to book.

  4. It stops

When they book or say no.

What you approve

You approve anything important. Nothing goes out in your name until you've signed off on the wording.

  • Every message template and the timing for each type of work.
  • Who's on the waitlist (only people who agreed to get texts).
  • Anything a customer writes back comes to your front desk.

What you'll get each month

A one-page report:

  • Cancelled slots and slots filled
  • Revenue from filled slots
  • Declined-work reminders sent
  • Recalled jobs booked and their value

Price

Auto repair: from $300 to $500 a month, plus 5% of recalled work (capped at about $500 a month)

Physio and RMT clinics: similar, from $300 to $500 a month, plus a small capped share of filled-slot revenue

Clinic pricing is quoted after the audit. Setup is quoted after the audit.

All prices in CAD. GST added if applicable. See all plans on the pricing page.

Founding clients

The first 10 clients get the best terms

Evenstead is new. I'm looking for 10 local businesses to start with. Founding clients shape how Fill & Recall works.

What you get

  • Setup at 50% off, or waived
  • A 14-day test before you pay monthly
  • Month to month. Cancel any time.
  • Your price locked for 12 months

What I ask in return

  • Share your real numbers, before and after
  • If you're happy, a short review
  • One introduction to another business owner

Questions people ask

I use Jane App. Doesn't it do waitlist alerts?

It may. If it already works well for you, you may not need this part. We'll check on the audit.

Do you see patient health information?

No. We only use names, contact details and appointment times. We don't touch clinical notes or charts.

Will customers find the texts annoying?

Only people who agreed get texts. Each text has "Reply STOP to opt out". Most people like getting a chance at an earlier slot.

I use Tekmetric (or another shop system).

Your declined work is probably already stored there. We use it instead of making you type it twice.

Talk it through in 15 minutes

No pitch deck. Just your numbers. I'll tell you honestly if I can help.

Best for auto repair shops and physio, RMT and chiro clinics.
