Paperwork Desk: field tickets checked before anyone types them
Ten field tickets from a made-up hydrovac company, written three different ways, like real crews do. The system reads them, checks each one against the open PO list and its own math, and sorts them: ready to enter, or needs a person.

In a real setup, ready tickets go straight into QuickBooks, your invoicing sheet or your job system, and the “needs a person” list goes to whoever handles billing, with the reason.

How it works, and what stays human
- Reading: Claude, an AI model, copies each ticket into fields exactly as written. It is told never to fix numbers, so a wrong total stays wrong and gets caught.
- Checking: plain rules do the checking, not the AI: PO on the open list and matching the customer, each line's quantity times rate, lines adding up to the subtotal, 5% GST, a customer sign-off, a date inside the billing week, no duplicate ticket numbers.
- Sorting: clean tickets are ready to enter. Anything odd goes to a short list for a person, with the reason in plain words.
- Never automatic: nothing gets paid or sent to a customer without a person approving it. Handwriting and bad photos are flagged for a person to check.
Works the same for vendor invoices, timesheets, work orders and applications. Documents arrive by email or upload. Answers are written through Anthropic's Claude model and our automation server (n8n, hosted in the United States, Virginia). See our privacy page.
